How to register
Registration is handled by email. Contact either coordinator below, or email info@icestem.org, for registration assistance.
Registration is complete only after payment has been received and verified.
Registration categories and fees
All participants pay a registration fee. The fees below exclude the fixed VAT charge. See registration benefits for what is included.

VAT
A fixed €100 VAT charge is added once to the registration, whether the speaker registers alone or together with a spouse or co-author(s). It is not charged separately for each person in that registration. VAT is non-refundable.
Travel benefits are included for the Invited Speaker, Co-Author of Invited Speaker, and Companion of Invited Speaker categories. See travel and visa support.
Co-author and companion registration (optional)
Participants may register co-authors or companions (spouses, family members, or professional collaborators). Co-authors receive full conference access and materials but do not present a separate paper unless registered as a main author.

Co-author and companion registration includes conference access, conference materials, a certificate of attendance, coffee breaks, lunches, networking events, and complimentary accommodation at The Westbridge Lodge & Convention Centre from check-in on June 20 to check-out on June 27, 2027.
Examples of total registration charges
These examples use the published registration categories and one fixed €100 VAT charge per registration group.
- One Invited Speaker: €1,000 + €100 VAT = €1,100.
- One Regular Participant: €550 + €100 VAT = €650.
- One Invited Speaker with one registered co-author or companion: €2,000 + €100 VAT = €2,100.
Registration benefits
Conference access
Admission to plenary sessions, keynote addresses, technical sessions, and academic workshops.
Conference materials
Conference kit, conference program, and abstract book.
Conference proceedings
Access to the conference proceedings. Publication details will be announced.
Certification
Official certificate of presentation or participation.
Hospitality
Scheduled coffee breaks and lunches on conference days.
Networking
Conference networking sessions.
Payment and cancellation policy
Payment methods
All fees are payable in euros (€). Accepted payment methods are international bank transfer and Western Union transfer. Payment instructions are provided in the invoice issued by the Conference Secretariat. Registration is complete only after payment has been verified.
Cancellation
Written cancellation requests received before May 15, 2027 are eligible for a refund of the registration fee, less administrative charges. Ordinary cancellation refunds are not available on or after May 15, 2027. After the cancellation deadline, registration may be transferred to another eligible participant, subject to approval by the Organizing Committee.
Visa denial
If a visa application is denied, a refund may be requested by submitting official visa-refusal documentation to the Organizing Committee by June 1, 2027. The same refund deductions apply.
Refund deductions
Eligible refunds are subject to 15% administrative charges, which include bank charges. The fixed €100 VAT charge is non-refundable.

How refund deductions are calculated
The 15% administrative charge is calculated on the registration fee, excluding VAT. The €100 VAT charge is not refunded. Bank charges are already included in the 15%; no separate bank-charge deduction is added.
Example: a solo Invited Speaker pays €1,100 in total (€1,000 registration + €100 VAT). An eligible cancellation or visa-denial refund is €1,000 less €150 administrative charges: €850 refunded. The applicable request/documentation deadlines still apply.

Registration process
- Request registration. Email a registration coordinator or info@icestem.org.
- Receive your invoice and invitation letter. Within 2–3 business days, the Secretariat sends these documents after reviewing your request. This acknowledgment does not complete registration.
- Make payment. Follow the instructions on your invoice.
- Receive final confirmation. Registration is complete once payment has been received and verified. You then receive your final confirmation and further conference details.
